The Dublin Silver Band ("DSB", "we", "us") is a brass band based in Dublin, Ohio and operates under the umbrella of Dublin Community Bands, a 501(c)(3) nonprofit organization. This policy explains what information we collect from visitors to dublinsilverband.com (the "Site"), how we use it, who else handles it, and the choices you have.

1. Information we collect
Information you provide
- Hire inquiries. If you submit our hire form, we collect your name, email address, phone number (optional), event date, event type, and any details you share about the engagement.
- Donations. Donations to the band are processed by Givebutter. Givebutter collects your name, email, billing details, and payment information directly. We receive non-sensitive details from Givebutter — typically your name, email, donation amount, campaign, and any dedication you wrote — for receipt and acknowledgement purposes. We do not see or store your full payment-card information.
- Donor accounts. If you create a donor account on the Site, we store the email address you used to register, donation history we sync from Givebutter, and any account preferences you set.
- Member accounts. Active and substitute musicians who sign in to the members-only area authenticate via Clerk. We store your name, email address, and role assignment, plus information you (or our administrators) add to your member profile such as instrument, section, phone number, and emergency contact.
- Email and SMS opt-ins. If you subscribe to our mailing list or text-message updates, we keep your contact details until you ask to be removed.
- Sponsor outreach replies. If you reply to a sponsor-outreach email from a member of the band, your reply is stored alongside the prospect record so we can track the conversation.
Information collected automatically
- Server logs. Our hosting environment records each request to the Site, including the IP address, user agent, time of the request, and the page or API endpoint accessed. These logs are kept for operational and security purposes.
- Cookies. The Site uses essential cookies set by Clerk to keep signed-in members and donors authenticated. We do not currently run third-party advertising or cross-site tracking.
Information from public sources
Our homepage News & Updates section displays recent posts from our public Facebook page (facebook.com/DSBOhio) via Meta's Graph API. The Site reads only the band's own page content — the post text, images, share count, and link back to Facebook. We do not collect data about Facebook users who view, react to, or comment on those posts beyond the totals Meta exposes for our own page.
2. How we use this information
- To respond to hire inquiries and follow up on event bookings.
- To process donations, send tax receipts, and acknowledge donor support.
- To provide and improve the members-only and donor portals.
- To send you emails or texts you have opted in to receive.
- To organize sponsor outreach campaigns conducted by band members.
- To detect, prevent, and respond to abuse or technical issues.
- To comply with legal obligations applicable to our 501(c)(3) parent organization.
3. Service providers
We rely on a small set of third-party services to run the Site. Each receives only the data needed for its function, and each maintains its own privacy policy:
- Givebutter — donation processing and tax receipts.
- Stripe — payment processing performed on Givebutter's behalf.
- Clerk — sign-in and account management for members and donors.
- SendGrid — outbound transactional email (hire-inquiry confirmations and admin notifications).
- Google (Gmail / Google Calendar APIs) — sponsor-outreach email and meeting invites sent from the band's shared inbox.
- Meta / Facebook Graph API — read-only access to our own public page so we can display recent posts on the homepage.
- Anthropic — limited AI assistance for sponsor outreach drafting and donation attribution. No personally identifiable contact information is sent to Anthropic beyond what is strictly necessary for the requested task.
- Plesk / Microsoft Windows Server — Site hosting.
4. How we share information
We do not sell or rent personal information. We share it only:
- With the service providers listed above, strictly to provide the services we use them for.
- With Dublin Community Bands, our 501(c)(3) parent organization, for accounting and tax-receipt purposes.
- If we are required to do so by law, court order, or to protect the rights, property, or safety of the band, our members, or others.
5. Data retention
We keep personal information for as long as it is needed for the purpose it was collected for, after which we delete or anonymize it:
- Hire inquiries are retained for two years to handle follow-up bookings and reference past events.
- Donation records are retained for at least seven years to comply with U.S. nonprofit recordkeeping requirements.
- Member accounts are retained while the member is active and for two years after they leave the band, then anonymized.
- Sponsor-outreach correspondence is retained for the duration of the campaign plus two years.
- Server logs are kept for 90 days.
6. Your rights
You can email dublinsilverband1@gmail.com to:
- Request a copy of the personal information we hold about you.
- Ask us to correct inaccurate information.
- Ask us to delete your information, subject to recordkeeping obligations described above.
- Opt out of marketing emails or text messages (you can also use the unsubscribe link in any message).
- Withdraw a previous consent.
We aim to respond within 30 days. If you live in a U.S. state or another jurisdiction with specific privacy rights (for example, California, Colorado, Virginia, or the EEA), those rights apply in addition to the above.
7. Children's privacy
The Site itself is not directed to children under 13. The Dublin Silver Band's youth program collects information about minor participants only with a parent or guardian's knowledge and permission, and that information is handled outside this Site through paper or in-person forms. If you believe we have inadvertently collected information about a child under 13 through the Site, contact us and we will delete it.
8. Security
The Site is served exclusively over HTTPS. Authentication is handled by Clerk, payments by Givebutter and Stripe; we do not store payment-card data on our own servers. Administrative access to the back-end requires multi-factor sign-in. Despite reasonable safeguards, no online service can be guaranteed completely secure — please use a unique password if you create an account.
9. International transfers
DSB is based in the United States and our service providers are primarily based here. If you access the Site from outside the United States, your information will be transferred to and processed in the United States.
10. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be highlighted on the Site and, where appropriate, notified by email to people who have opted in to communications.
